When you book with Edge Sports and Activities Ltd, we want you to be completely satisfied with the service we offer from the moment you book to when you collect your child after their course experience. Below are the booking terms and conditions which let you know what to expect from Edge Sports and Activities Ltd and what we expect from you. We will always try to do the best by your child, make sure they are safe and conduct ourselves with integrity and honesty. Definitions
Purchaser is the person making the booking which may or may not be the parent.
Booking
Bookings placed online, and over the telephone will be confirmed by email. We only post confirmation where the purchaser does not have an email account. Full payment constitutes acceptance of these booking terms and conditions. Please check the booking confirmation email carefully to ensure the dates, location and details are correct and as expected – please inform us as soon as possible with any discrepancies at least 10 days before the swim course(s) starts.
Term time swim courses – Bookings can only be confirmed once either the non-refundable deposit of £30 per swimmer or full payment has been received (this excludes payments which are made via agreed instalments).
Holiday intensive swim courses – Bookings can only be confirmed once full payment has been received, which must be received within 2 days of provisional booking otherwise it will be cancelled.
Payment
Edge Sports and Activities Ltd accepts payment by BACS and secured online invoice system. A booking is only confirmed once we have received full payment.
All bookings must be paid in full 10 days prior to the start of term-time courses (a non-refundable deposit of £30 per swimmer must be received 2-day after making a booking), and holiday courses must be paid in full 2 days after making a booking. If you decide to cancel your booking, the non-refundable deposit unfortunately cannot be transferred to another person, including a sibling or any other family member. The deposit is linked to the individual and specific transaction for which it was originally made, and is non-transferrable to another course. This ensures fairness and consistency in our policy and helps us manage our bookings efficiently.
Bookings can still be made up until the start (or during) of any course, but payment must be made in full at the time of booking. If full payment has not been received by this deadline, the booking will be cancelled. Please get in contact with us if there is a problem with meeting payment deadlines. Bookings that qualify for any promotional offers, need to be paid in full at the time of booking via BACS, or the secured online invoice payment system.
Late payments – All payment invoices must be paid by the due date or will incur a £8 administrative fee. If you anticipate any difficulties in meeting the payment deadlines or require any assistance in setting up a more convenient payment plan, please let us know by email so that we can keep a record and no additional fee will be charged.
Edge Sports and Activities Ltd reserves the right to claim statutory interest at the current Bank of England base rate % at the date the debt becomes overdue in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
Changes to your booking – Swimming Course(s)
You can change booking dates for free any time up to 7 days before the date you would like to change – as long as it is within the current season for the swim course, and there is availability. Changes made less than 7 days prior to the date you would like to change will incur a £10 administration fee. All changes to bookings can only be made over the phone and unfortunately; a phone message/voicemail does not constitute confirmation of your requested date change. If you have booked a full week then we can only move the booking as a full week, not split across multiple weeks, unless you are happy to pay the extra cost to split a whole week into days. Cancellations & refunds
You can cancel a swimming course(s) booking up to 14 days before the first date of your booking. We will refund all monies paid minus a 25% charge fee for cancellation, but this does not include the non-refundable deposit payment. If cancellation is less than 14 days before the first date of the booking, unfortunately, we are unable to refund any monies.
If you miss a group swimming lesson due to illness, holiday or any other reason we will not refund or apply a lesson credit. The space is booked and paid for, for the entire term/course. We are not able to swap your child’s day for another week or two if you are unable to make the swim session/course day.
If a swimmer is unable to attend their scheduled lessons due to hospitalization or an injury resulting in broken bones, a 50% credit will be applied towards the cost of the missed lessons. To qualify for this credit, medical documentation (such as a hospital note or doctor’s certificate) must be provided within 7 days of the missed session(s). This credit will be applied to future lessons or bookings and is non-refundable.
To cancel a Private lesson you must contact us and give 48 hours notice and a 25% cancellation fee will be incurred for that lesson. Lessons cancelled with less that 48 hours notice will incur a full charge for that lesson (no refund will be applied). The cancelled lesson will then be rescheduled for a later date. If there is repeated cancellation of private lessons, then your ongoing booking could be cancelled due to the disruption that it causes for teachers and pool management. In the unlikely event that private lessons are cancelled by Edge Swim School lessons will be credited in full or rescheduled.
With regards to Edge Swim School, it may take younger children a couple of weeks or so to settle into the lessons, especially if it is their first ever lesson or first time not swimming with their parents. We are very experienced in dealing with this and will always persevere and include songs and games to help the children get to know ourselves and the lessons.
In exceptional circumstances, Edge Sports and Activities Ltd may have to cancel particular dates for reasons such as insufficient numbers or problems with the hired facilities. In this event, we will try and inform you at the earliest time possible and offer alternative options if available, or refund all monies paid for the dates cancelled.
If for any reason we have to cancel a lesson we will, where possible, add additional dates into the term, usually during half term or holidays to make up the swim. If you are unable to attend the make up date we will apply a lesson credit to your following terms’ invoice, or refund if you are leaving at the end of term.
Available Dates and Swimming Course(s)
Information given on the website and in printed materials is correct at the time of publishing and printing. We may need to change dates, location or activity options due to unforeseen circumstances (or adverse weather), but we will endeavour to inform you as soon as possible.
Personal Property
Edge Sports and Activities Ltd does not accept responsibility and/or liability for any lost or damage howsoever caused to personal property or possessions brought onto the poolside/left in the changing rooms. Any personal property that is found will be kept until the end of each term, and if not claimed, will then be disposed of.
Waiting Lists
If the course(s) you require is fully booked you will be placed on a waiting list. In the event of cancellations Edge Sports and Activities Ltd will contact you then your child will be booked onto the event.
Insurance and Liability
Both Public Liability, and self-indemnity Insurance cover all children, and staff under Edge Sports and Activities Ltd care. Copies of our certificates can be seen on request, or at www.edgesportsandactivities.com
Special Requirements (Medical Conditions, Learning Difficulties or SEN Diagnosis/assessments taking place)
Every child has access to the same opportunities, although some children may have specific medical, physical or behavioural requirements that need to be taken into account prior to participating in activities. The needs of each child vary, so decisions on how best to include children into our programme, are made on a case-by-case basis. We request that parents of children with specific needs contact us to discuss how we can best accommodate their child, and consider whether any special arrangements need to be made. We may need to assess an individual’s need and find the most appropriate means of participation. Please note we cannot provide for children requiring personal care, including toileting.
Illness and First Aid
It is the purchaser’s responsibility to inform Edge Sports and Activities Ltd at the time of booking of any pre-existing medical, physical or behavioural conditions, or medication requirements, so that we can make provision for the child’s specific needs. If this information is not provided we reserve the right to exclude the child from some or all activities.
If a child is deemed too ill upon arrival, we reserve the right to refuse participation until the child has been symptom free for at least 24 hours. If a child requires medication, our staff can only administer medication if it is specifically prescribed for that child, by a health professional. Appropriate First Aid will be administered to children in the event of an accident while under Edge Sports and Activities Ltd care. If the accident is more serious, we may need to call the emergency services and will immediately inform parents.
We keep a record of all medication administered to children whilst on either Edge Sports and Activities Ltd swim course(s). Please inform us if medication is required and to be given when booking through the Medical conditions/allergies section on the booking form. If you do not want our staff to administer the medication then please indicate so on the booking form.
Photography and Video
On occasions, Edge Sports and Activities Ltd may employ the services of a suitable and CRB/DBS cleared photographer to take marketing pictures/videos. If you do not wish for your child to be in any marketing materials please let us know by contacting us via email at info@edgesportsandactivities.com or call us on 07812 104128.
Parents/Guardian are prohibited from the taking of photos and video recordings are not permitted under any circumstances while the swimming lessons are in progress due to child protection guidelines.
Importantly, this includes the use of phones in the changing rooms, or hallways, and includes any use of the photo or video function (even if you are taking pictures or video of yourself).
Parents / Guardians of any children (swimming or not swimming) who have their own mobiles or smart devices will need to make sure they are not using them to take photos/videos while around the poolside/changing room areas.
Changing room procedures
In the interest of safety and comfort of all our swimmers and in accordance with the Swim England safeguarding policy, we ask that all adults only access their gender appropriate changing room. Children of 8 years of age and above are also required to change in the gender correct changing room
To summarize: I.E Dads – please only ever access/use the male changing rooms, irrespective of the gender of your child. Mums – please only ever access/use the female changing rooms, irrespective of the gender of your child.
If your child is over 8 and of the opposite gender, they are asked to change on their own.

Child Exclusion
Edge Sports and Activities Ltd reserves the right to exclude any child for any reason, including but not limited to inappropriate parent or child behaviour, illness and bullying. Refunds will not be offered for remaining days when a child is excluded. No refund will be made for days missed and no compensation will be made for any other costs or losses incurred as a result.

We want to give your children the most amazing experience possible, and give you peace of mind that you have chosen the best for your child.
